Standard Qualifications: SUMMARY OF DUTIES: The overall purpose of the Office Coordinator is to create and maintain a productive, well organized and pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety within the VCP executive office. The primary responsibilities are focused on organizing and helping to manage administrative duties and office procedures for VCP. Ultimately, the Office Coordinator should be able to ensure the smooth running of the VCP office and help to improve company procedures and day-to-day operation. GENERAL RESPONSIBILITIES Organize and coordinate routine internal meetings (monthly staff and weekly leadership)Schedule routine Board, physician committee and JOC meetings and other external appointmentsPrepare and distribute official documentation and minutes of Board, committee and staff meetings and other select network correspondenceProvide general administrative support to the VCP leadership teamOrganize general office layout, workflow operations and proceduresMaintain office policies and partner with HR to update as neededAssist with the on-boarding process for new hiresMake arrangements to ensure appropriate inventory of office suppliesManage daily mail, delivery and courier needsManage equipment inventory and maintain proper operating condition of office equipment, coordinating routine maintenance and repairs with IT&S as neededServe as liaison with facility management to manage room setup including cleaning, catering, AV and security services for VCP external and internal meetingsAssist with employee travel arrangements as necessaryPlan in-house or off-site staff activities (conferences, parties and other work appropriate celebrations)Provide general support to office visitors and guests
